    Our Commercial Mortgage Investment division oversees a portfolio exceeding $13 billion, with annual origination exceeding $1.5 billion.  We manage one of the largest commercial mortgage portfolios in Canada with offices in Vancouver, Calgary, Winnipeg, Toronto, and Montreal.

     

    The Commercial Mortgage Investment team is seeking a Administrative Coordinator in Winnipeg, Manitoba. In this position you will work closely with leadership team to provide administrative and department support. We are looking for an individual that has a strong attention to detail in handling assigned projects and works effectively in a fast-paced environment that requires a high level of multi-tasking and attention to detail. This role also requires strong technical and organizational skills. 

     

    Accountabilities:

    • Schedule meetings, maintain and update meeting schedules, book and co-ordinate travel arrangements.
    • Providing general administrative support: point of contact for visitors; answering phones; responding to enquiries; scanning/copying/and filing; mail management.
    • Processing expenses, invoices and departmental overtime in accordance with corporate policies and procedures.
    • Coordinates annual client information requests, enters information into the client database, and oversees file maintenance.
    • Assist in preparation correspondence, presentation material, binders, reports and other projects as assigned.
    • Participate in planning of special events – retirements/Townhalls/Anniversary celebrations.
    • Coordinate the logistics of setting up new staff and leaders. This includes space, phone, computer, security etc.
    • Coordinate department moves and follows up with the necessary Facilities Departments after move(s) to ensure any changes have been made.
    • Act as the Security Coordinator, coordinate user ID, and data access services for all departmental staff and contractors.
    • Ensure adequate supplies are in place while optimizing purchasing authority and cost effectiveness.

    Qualifications and Competencies:

    • 4 years previous experience in a similar role closely supporting senior leaders.
    • Post-secondary education, degree or diploma.
    • Strong organizational skills with excellent attention to detail, ability to multi-task, prioritize and meet deadlines.
    • Excellent verbal and written communication skills.
    • Strong level of flexibility, initiative and sense of urgency.

    • Strong interpersonal skills with the proven ability to build relationships working with a broad range of individuals and groups.
    • A high level of proficiency is required in MS Word, Excel and PowerPoint.
