    The Administrative Assistant/Receptionist will be responsible for supporting different corporate leaders and management teams in our brand-new office in Montreal. In addition, he/she will be the front desk receptionist for visitors at the reception and answer calls for the Montreal office.



    • Focus on customer service by welcoming clients, candidates, advisors and other visitors in order to enhance the client's experience
    • Handle incoming calls
    • Handle general administrative tasks, including making photocopies and sorting mail
    • Offer administrative support to the Legal Department, Human Resources, Communications Department, Compliance, and Translation Department
    • Handle filing, if necessary
    • Manage building access cards
    • Offer administrative support for corporate leaders (Legal, HR, Communications, Compliance, etc.)
    • Offer support and act as a link between administrative assistants in Winnipeg and London and the President of Quebec Affairs who is often travelling or outside of the Montreal office
    • Take care of certain email requests, calls and ad hoc requests, and of the coordination of all events related to Quebec Affairs
    • Coordinate meetings, including coalition and quarterly meetings
    • Perform corporate administrative assistant tasks and occasionally perform executive assistant tasks for the President

    Your role will be divided as below:

    • 50% Reception
    • 25% Administrative support to the Legal, Human Resources, Communications and Translation departments
    • 25% Coordination between our different offices

    Required skills and competencies

    • Excellent communication and written skills in both French and English
    • Strong interpersonal and customer service skills, and ability to work independently
    • Good knowledge of MS Office Suite
    • Excellent communication skills with clients and business partners
    • Organizational skills and respect of deadlines in a fast-paced environment where priorities must be juggled
    • Ability to work effectively in a team
    • Independent on the job and good learning skills
    • Resourceful, quick and reliable
    • Strong sense of confidentiality
