    Role Description:

     

    This is a 12-month temporary full-time position with the potential to extend the contract or a possibility for a full-time position.

     

    This position is reporting to the Regional Sales Support Manager and is accountable to ensure that Quadrus branch files in the Financial Centre are complete and in full compliance with Quadrus policy and mutual fund regulatory requirements. You will also be required to have a strong working relationship with the branch manager and compliance officer. Performing administrative duties in accordance with compliance requirements. 

     

    This administrative role ensures all regular daily office functions are accomplished. This role will be accountable for the compliance support functions (ie Securities/Quadrus branch file). They will work in close partnership with the regional support coordinator, as well as the Sales Support Manager / Regional Sales Support Manager.

     

    Accountabilities:

    • Providing support to the Branch Manager and the Compliance Officer
    • Running daily reports on trades and comparing report information to paperwork
    • Reviewing new applications and documentation for accuracy and completeness, and forwarding to Head Office and investment representatives
    • Documenting branch file paperwork errors and delays, and submitting to Operations Manager weekly
    • Ensuring Quadrus branch files remain compliant by conducting the necessary communications with investment representatives
    • Escalating repeated paperwork issues to the Branch Manager
    • Referring all instances of non-compliance, and other issues to the Branch Manager as necessary
    • Preparing and reviewing financial and non-financial change request documentation
    • Coordinating compliance audits
    • Passion for working in a high performance, faced-paced environment. Strong ability to manage priorities and deadlines.
    • Ad hoc administration duties as required.

    Qualifications and Competencies:

    • Knowledge of mutual fund dealer administrative processes
    • Excellent verbal and written communication skills
    • Strong attention to detail
    • High sense of urgency
    • Excellent organizational skills – ability to prioritize multiple tasks
    • Proficient in using E-Mail, Word, Excel with an aptitude for learning new technology
    • IFIC Sales, IFIC Operations or Canadian Securities Course is an asset
